1. Call to Order and Announce a Ouorum is Present
With a quorum present, the Historic Preservation Committee was called to order by Chair Susan
Irza at 4:00 p.m. on Monday, October 3, 2011 in the College Station Conference Center, 1300
George Bush Drive, Room 103, College Station, Texas 77842.
2. Hear Visitors
Kevin Burch, 1300 Harvey Mitchell pkwy #1017, a political science student, reported that he is
required to attend a City meeting.
3. Possible action and discussion on absence requests.
There were no absence requests. Chair Irza reported that Frances Williams would be resigning.
It was recommended that James McGinnis be asked to submit an application.
4. Possible action and discussion to approve minutes of September 12, 2011.
There were no minutes available for consideration.
5. Chairperson report on meeting with Ci officials on September 14 2011 concernint the
current status and future of the Historic Preservation Committee.
Chair Irza reported on the meeting with Mayor Berry; David Neeley, City Manager; Kathy
Merrill, Assistant City Manager; David Schmitz, Director of Parks and Recreation; Sherry
Mashburn, City Secretary; along with Jerry Cooper, committee member. She noted that the
position of Historical Records Coordinator will be a half -time position, and the Heritage
Programs will continue. The City Secretary will oversee the management of the historical
records, and all event - related activities will be handled by the Parks and Recreation Department.
She also reported on a budget request of $5,000 for a commemorative book for the 75
anniversary celebration.
It was reported that Judge McDonald was terrific at the Exploring History luncheon. Anne
Boykin and Tina Hanna were recognized for their service to Project HOLD.
6. Presentation and ul2date on Heritage Programs Coordinator Position, related to lob
description, division of duties, and hiring process.
Sherry Mashburn, City Secretary, provided a copy of the new job description to the committee,
and reported the duties related to historical records management would fall under the purview of
the City Secretary. The committee expressed concern that benefits were not included. Ms.
Mashburn was asked to discuss this with the City Manager and attempt to get benefits restored.
David Schmitz, Director of Parks and Recreation, reported on Hot Rocks and the Lunch Lecture
series.
7. Presentation discussion and possible action on possible participation in Brazos Valle.
Worldfest.
Lou Hodges agreed to coordinate with Kim Fox (TAMU) for a booth at Worldfest, scheduled for
the second weekend in November.
8. Presentation on Boonville Days from Lou Hodges.
Lou Hodges and Libby Vastano reported on the booth at Boonville Days. A craft project was
provided for the children.
9. Presentation, discussion and possible action on Heritage Preservation Committee
Bylaws.
The committee requested a template to assist in updating the committee's bylaws.
10. Presentation, discussion and possible action on Preservation Excellence Awards.
This item was postponed until the Historical Records Coordinator is hired.
11. Discussion review and possible action reaardina the following sub - committees: Historic
Marker Program; Oral History Transcription Proicct: Exploring history Lunch Lecture
.History on Tan in Brazos Valley" Guidebook; Heritage Programs Acquisitions.
Staff was asked to list the subcommittees down the page with the chairs names and committee
members on future agendas.
Susan Irza reported that two more Exploring History Lunch Lectures are left in the 2011
series. Members of the committee will assist in introductions of the speakers for the lunch
lecture series. Assignments were as follows:

Linda Harvell reported on the 75 Anniversary committee. The next meeting will be held
Wednesday, October 5, at 8:30 a.m. at the Southside Community Center. Plans have been scaled
back to have all the events on one day, and there will still be a reunion and homecoming.
Jerry Cooper reported on the timeline and history book. He has spoken with Glen Davis and
with professors at TAMU to research possible assistance in the development of the book.
12. Presentation and discussion of historical items presented by committee members which
may, include historical books, victures, artifacts, scrapbooks, or other memorabilia. No
action will be taken.
Susan Irza presented Second Thoughts, Presidential Regrets With Their Supreme Court
Nominations by William T. Harper.
Lou Hodges presented an aluminum token from the 1892 -93 World's Columbian Exposition,
depicting America's response to the Eiffel Tower ... a huge ferris wheel.

14. Discussion and aossible action on future agenda items.
There were no future agenda items.
15. Adjournment
MOTION: Upon a motion made by M.D. Marshall and a second by Anne Hays, the Committee
voted six (6) for and none (0) opposed, to adjourn the Regular Meeting of the Historic
Preservation Committee at 5:40 p.m. on Monday, October 3, 2011. The motion carried
unanimously.
