Holland Henry Mayo Tracy Paine Sallye Henderson City Staff: Ian Whittenton, Records Management Coordinator Mike Neu, Multimedia Coordinator David Schmitz, Parks Director Call to Order The 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:33 a.m. on October 31, 2013 in the College Station City Hall, 1101 Texas Avenue, College Station, TX 77840. 2. Hear Visitors There were no recognized visitors. 3. Consider Approval of Previous Minutes MOTION: The Committee voted to approve the minutes. 4. Sponsorship and Recognition of Sponsors Sherry Frisk has ordered recognition ribbons with no logo for this event. The ribbons labels are Sponsor, Committee, and Contributor. Mike Neu reported that lanyards will not be used; instead nametags with the 75th Anniversary logo and the donor’s name will be made. 5. Promotion and Media Mike Neu reported that Jay Socol is working on a list of invites. The Insite Magazine invitation will feature the College Station 75th Anniversary event and would be separate from invites to those already receiving the Insite invitation. Ben White suggested that a letter be sent to all former mayors personally inviting them to the event. A discussion was had on the Convention and Visitors Bureau’s ability to track HOT funds for 75th Anniversary related events. The committee does not know if the CVB will track the event, but Linda Harvell expressed that it may be possible. 6. Bush Library Exhibit Update Mike Neu will arrange docent training. Several training days may be offered, possibly on the 12th and 15th of November. May need extra docent’s December 3rd, 4th, and 5th for high school tours. Councilmember Shultz would like to be docent trained. 7. Homecoming Events, planning November 12th VIP event: Mike Neu reported that VIP event will start at 4:30 p.m. and committee members are asked to arrive at 4:00 p.m. A photographer may be hired to document this event. The posters for sponsors and title sponsors were displayed. The title sponsors posters will feature signatures from all of the living mayors. Still looking for VIP presenters, Bill Flores is a possibility. Need volunteers to pass out ribbons and name tags for this event, must also remind recipients to bring them back for the other events they attend. Friday, November 15 Homecoming event at Southwood: Committee discussed the dinner and event at the Southwood Community Center at Brian Bachmann Park. Currently, 202 reservations for the dinner have been received and only 50 more may be accepted. Linda Harvell gave notice that a 40’ x 60’ tent, accommodating 200 persons, has been secured for the event, tables and chairs will be set up; however, the committee must break them down after the event Linda Harvell will check up on the permit for JJ’s Liquors cash bar. Gary Ives returned a price on flowers of $25 per centerpiece mug from Kroger. He will take a mug with him to price other options for the centerpiece. Scott Simpson is arranging police officers for this event. Saturday November 16th Event, Bush Library and Grounds: Discussion on scheduling speakers, co-coordinating poster signings, who will be honored, and a historic theme or message. Mike Neu will schedule an interview for the opening. Mike Neu reported that a photographer may be hired to document this event. Allison Meserole has been in contact with local personalities to perform duties of announcing, including Scott DeLucia, Ben Downs and Chase Murphy as possible participants. She is looking for help organizing the performers the day of the event. Gary Ives suggests that the bagpipes perform several shorter sets. Need volunteers to pass out cake, and VIP ribbons and name tags for this event. Linda Harvell is asking for volunteers to email her and she will coordinate a schedule for appropriate coverage. Linda Harvell reported that there will be no Story Room in the afternoon, instead that space will be used as a green room for performers. Also, there is a possibility of ambiance music outside if the quote is reasonable. Volunteers and committee members are being asked to park in Lot 111. 1938 House Signage: Jerry Cooper notified the committee that the home signage is ready for distribution. Mike Neu will work on a press release. 8. Report- Car Show B. B. Holland reported that enrollment is steady at an estimated 45-50 cars for the show. There is a John Deer Gator for transportation, but no golf carts. Car show participants will receive a goodie bag, the bag itself made by Mr. Holland and features the 75th Anniversary logo. No sound or ambiance music will be needed at car show. 9. A&M Garden Club No update. 10. THE NEXT MEETING OF THE 75th ANNIVERSARY PLANNING COMMITTEE IS SCHEDULED FOR THURSDAY, November 7, 2013. SCHEDULE SUMMARY: (SUBJECT TO CHANGE DUE TO FURLOUGH) Exhibit: (November 16, 2013 – Jan. 4, 2014) Bush Library and Museum VIP Event/InSite Launch Party: (Tues., Nov. 12, 4:30-7 p.m.) Bush Library and Museum Classic Film: (Thurs., Nov. 14, 7 p.m.) Annenberg Presidential Conference Center Carter Park Rededication: (Friday, Nov. 15, 11 am), Richard Carter Park. Homecoming Event: (Fri., Nov. 15, 6-10 p.m.) Southwood Community Center, Brian Bachmann Park Community Celebration: (Sat., Nov. 16, 9:30 a.m.-5 p.m.) Bush Library and Museum 11.
