HomeMy WebLinkAboutMEETING NOTES 75TH ANNIVERSARY_01_14_11 (2)City of College Station 1/2 January 28, 2011 75TH ANNIVERSARY PLANNING COMMITTEE MEETING NOTES College Station Conference Center 1300 George Bush Drive January 14, 2011 10:00 a.m. In attendance: Linda Harvell (chair), Anne Boykin, Patricia Cleere, Jerry Cooper, Susan Irza, Greg Phelps, Dave Ruesink, Julie Schultz, Ben White. FUTURE MEETING TIME CHANGED TO 11:00 a.m. on second Fridays. Linda Harvell, new chair of the committee, introduced herself and gave a brief rundown of her experience working with city governments, in the travel industry and in planning major events. Linda also serves on the Historic Preservation Committee for the city of College Station. Anne Boykin – Will send out an email with meeting notes and will ask each member of the committee to state their interest in the committee whether it will be as a working member or as a supporting member. Working members will meet regularly as a committee and will be very active in the planning, organizing and implementation of the 75th Anniversary events. Supporting members will be those who are very interested in participating in one or more of the events and/or just want to be kept in the loop on the committee progress offering assistance or suggestions along the way. Susan Irza – Recommended that we concentrate on 2- 3 events. Very interested in a time capsule and enlisting the help of the media to solicit items to be included. Feels a master calendar is very important for scheduling events. Ben White – Recommended that we engage all levels of the community in our celebration. Feels 1-4 events, maybe quarterly, would be sufficient. Dave Ruesink – Announced that the city is considering sponsorship of DuckJam as their signature annual event. He also suggested a 100 mile bicycle race. He felt that it is important to go to the individual organizations and ask them what they are willing to do to participate. Linda Harvell – Discussed sponsorship levels for citizens and community businesses. We need a mission statement. Greg Phelps – Mentioned the window of opportunity in the summer made available with Bryan moving Texas Reds to the fall. Suggested a gala evening with awards recognizing accomplishments of individuals, organizations and businesses. Something along the line of People’s Choice Awards. Julie Schultz – Recommended that we clearly state our purpose so that we can then define our direction. City of College Station 2/2 January 28, 2011 Jerry Cooper – Reminded the committee that March 4, 1938 is a very important date for the city. It was the day that the committee of 26 men went before the A. & M. College Board of Directors to state their intention to incorporate. Recommended events being scheduled pre-2013 to capture advance sales of promotional items: t-shirts, mugs, book, etc. Work in progress: 3rd Annual Hot Rocks Cook-Off in 2011 – Event includes ancient earth oven cooking methods, American Indian life skills demonstrations, participation of tribal representatives, and students from TAMU, U.T., Baylor and Texas State University. This event will become a permanent site at Veterans Park and will encourage the development of a Native American Pathway at the park. Currently, Heritage Programs and CS Parks and Recreation coordinate the event with Dr. Alston Thoms from TAMU. The event is held in late October or November and should develop into an even more significant event by 2013. Comprehensive College Station History Book – Heritage Programs is currently working on getting approval to work with Donning Publishing Company to publish a history of College Station. Sales from this book will go toward the 75th anniversary celebrations. Mayor Interviews – Susan Irza has been conducting filmed oral history interviews with the remaining former mayors and long time serving council members and city employees. Portions of these films will be used in a city history DVD. The whole interviews will be archived on Project HOLD, historic online library database.
