On the 20th of June, 1984, the Library Board of the City of Bryan, Texas, convened in regular session in the regular place in the Reading Area located in the Library Building at 5 p.m. with the following members present. ATTENDANCE Member Present No. of meetings held No. of meetings today since appointment attended since appointment Mrs. C. J. Allen, President X 103 84 Mr. Ed Madeley, Vice President X 10 10 Mrs. Willie Pruitt, Treasurer X 103 74 Judge Carolyn Ruffino 10 9 Mr. Vic Paulos 32 18 Mrs. Wayne Gibson X 10 7 • Mrs. Willie Belle Bogard X 32 25 Absent were Judge Carolyn Ruffino and Mr. Vic Paulos Also present were Mrs. Clara B. Mounce, City Librarian, Mrs. Jerilynn Williams, Associate City Librarian, and Mary Ann Montoya, secretary to the City Librarian. 3. There were no visitors. 4. The minutes of the May 16th meeting were approved as mailed. 5. In a discussion of the statistical report, Ms. Mounce noted that circulation for June was 14,000 last year in the children's department, and this year will probably be over 16,000. There were 1,166 books circulated in the children's department one day last week; 392 "new" cards were issued in three weeks and renewed over 350. We have already registered 1,200 in the children's reading program. A day care teacher brought approximately 75 at one time (the teacher did lose one child) . The library is having a super summer. Children had a great time doing the old Eagle building mural. 6. There were no committee reports. 7. In the Librarian's Report, Ms. Mounce mentioned that 10 polaroid cameras have • been received. Publicity will be released when check out procedures have been completed. Ms. Mounce also noted that Martin Munoz submitted his resignation. After 22 years, he felt it was time to quit his library job. Mr. Munoz has taught school full time all the years he worked at the library. We have hired Charlie M. Craig on a temporary basis. Ms. Mounce stated that she has requested that the part- time librarian position be made a full-time position. The City of Bryan has had many requests for new positions, however. Termite treatment will be scheduled as soon as possible. The job has been sent out to bids. A "quick kill" has been done to take care of the immediate problem. The termites spread very quickly after all wood was removed from dirt fill basement. A one time treatment will cost approximately $1,600 and comes with a guarantee. However, it cannot be guaranteed if water continues to enter the basement; which happens every time it rains or when the grounds are watered. Bids for an independent telephone system will be in on June 26. We have had several company representatives come by and look at the building in getting ready for bids. As part of the summer activities, the Tuesday night movies have done very well. Aerofit, headed by Ramiro Galindo will have two programs in the library auditorium. Charlie Griesser's family gave the library an original Fire Department amendment dated in 1871, along with old photos ,and memorabilia. Plans are to microfilm • his collection. Dr. Rand Evans has offered to loan us his equipment to do the microfilming. 8. Unfinished Business : Budget. Ms. Mounce stated she is working on the new budget. Ms.. Mounce .discussed-Modifications for., the: better_air-conditioning system. She also stated she would request construction of ramps and access facilities for the handicapped. She will request modifications of bathrooms to accommodate handicapped users. Carpet replacement for the stairwell and the circulation area will be requested. Ms. Mounce said it is her understanding that College Station will increase its allocation to the libary to $30,000. Unfinished Business: Summer Reading Program. This year we are not requiring that children read a certain number of books. Children and parents can decide the number, and in this way there is less competition among children of the same family. This idea has been well received by patrons. Unfinished Business: Old Eagle Building. A parking committee appointed by the Mayor is studying the situation. Ms. Mounce is one of the members. Ms. Mounce stated she believes the study will show the need for parking. Stage Center is also interested in another downtown building and the owners might be willing to rent it to them. Stage Center went to the City Council and asked them not to demolish the Eagle building until they have had time to look into the possibility of using it on a temporary basis. 410 9. New Business: Adult Literacy Program. Mrs. Williams discussed a proposed • adult literacy program to be held in the Bryan Public Library. Census statistics show that 20.3% of adults in Brazos County have attended school less than 12 years. Marvin Dixon of the Bryan Community Education Office said that his office receives at least 200 requests each year from adults seeking literacy classes. It is not provided by community education classes. The Texas State Library has just released word that grants for adult literacy classes would be available in October of 1984. These funds would be used to purchase classroom materials and equipment for a program. The library is proposing to apply for a grant, and enlist volunteer organizations, as well as Community Education agencies, and the Friends of the Library as sponsors. Members of the Library Board are enthusiastic about such a program held in the library. Mrs. Pruitt suggested the Retired Teachers Association be contacted, as members of that group are doing volunteer work at the Girls Club this summer that is similar in nature. Libraries throughout the United _ States are providing literacy classes. Currently libraries in Waco, Dallas, Fort Worth, and San Marcos are planning or are already providing such programs. As the Bryan Library has historically provided adult educational programs, this would be in keeping with its mission. Mrs. Allen, Mrs. Pruitt, and Mrs. Gibson were interested in helping in such a program. New Business: National Convention of the American Library Association. Librarians attending the national convention of the American Library Association in Dallas were able to see some of the latest technology in library equipment and supplies. Speakers included John 0. Alexander of Argyle, Texas, who was formerly vice president with the American Management Association; Rosalynn • Carter, former first lady; Beverly Cleary, winner of the 1984 Newbery Award; Coretta Scott King; State Senator Roy Blake; and authors, Jonathan Kozol, Jim Trelease, David Maccauley, Frank Herbert, Milton Goldbery, and John Henry Faulk. 10. Request for items for agenda: Acquistion of local history documents, memorabilia. Mr. Madeley requested that acquisition of materials in these areas be discussed. 11. Meeting was adjourned at 6:30 p.m. Vice President for U Mrs. C. J. Allen, President Ms. Clara B.
