Parks & Recreation Conference Room Members Present: Katherine Edwards, Chairperson; Joe Wallace, Sarah Adams, Helen Pugh Members Absent: Helen Perry, Ed Burns, David Chester Staff Present: Ross Albrecht, Staff Liaison; Emily Baker, Secretary; Delmer Charanza, Cemetery Sexton I. Approval of May Minutes Joe Wallace moved for the May minutes to be approved as written; Helen Pugh seconded the motion; all in favor. The May minutes were approved as written. Katherine Edwards will call Steve Beachy regarding the comment that Glen Brown wrote on the minutes that were sent to him. He had a question on Item IV. Aggie Field of Honor Concept, second paragraph, about the City Council requesting additional information. II. Consideration & Approval/Disapproval of Absentee Requests Joe Wallace approved Helen Perry’s absence; Sarah Adams seconded the motion. Helen has been sick. David Chester told the committee that he would be overseas all summer. No one has heard from Ed Burns. III. Proposed Wording Addition to Ordinance #2178 for Salem & Shiloh Sections Katherine Edwards asked if there was any response from the Legal Department on the new wording. Ross Albrecht stated that he had heard from them. They are happy with the new wording for the statement. He said the statement has already been approved by the committee “as is”. He will put together an agenda item cover sheet to change Ordinance #2178 and place it on the City Council’s agenda. This agenda item will not be sent to Council until the maximum allowed monument size is set by the committee for the new cremate section (Madeley). IV. Memorializing the Madeley’s The committee already voted to establish the urn garden with the first $5-$6,000 of their gift and to put the remainder of their gift in our endowment fund. Katherine Edwards asked the committee how we would memorialize them. We had discussed naming the urn garden after them or having a plaque or a marker set up. Sarah Adams asked if the Madeley’s had a marker in the urn garden, will their remains be expected to be placed in the urn garden? She asked if that was suitable for the urn garden to be named after them when no one in the family was even placed there. Ross Albrecht stated that the most economical marker to get the most words on it would be Cemetery Committee Regular Meeting June 1, 2000 Page (2) a state historical-type marker like the one at the memorial walkway. If we do a granite marker like the one for the Garden Club at the fountain, it may not stand out as well with all the other markers in the area; or we may want to do both, a stand-up marker as well as one on the ground. We could do a slanted marker with some landscape around it. Ross has not done the RFQ for someone to do the survey work yet. Once he gets that done and finds out how much that will cost us, what is left over will be for the memorialization. He will ask the survey firm to make a recommendation on the size of the plots and then we will have to come up with marker sizes. Delmer Charanza will call around and get some information on possible plot sizes and marker sizes of an urn garden. Katherine Edwards stated that the committee might want to wait until we know what the cost is to develop the urn garden, then we’ll decide what we want to do with the marker based on how much money we have left. Then we can make decisions on what kinds of markers we are looking for. She will visit some monument companies in town to see what they have in the way of markers. Some other suggestions were to have a sculpture, a bench with a bronze plate on it or a birdbath to memorialize the Madeley’s. V. Hear Visitors There were no visitors. Ross Albrecht answered a question of Helen Perry’s a while back on what is the zoning for the cemetery. He checked with our Development Services and found out that most ordinances do not deal with the cemetery in a specific zone. It’s not agriculture, multi- use housing, etc.; it’s just a cemetery. It does not have its’ own specific zone. Another question that had come up in the last meeting was how much interest was the endowment fund making. Ross stated that it is currently making 5½ percent interest. All of the city funds are lumped together and invested. VI. Adjourn The next meeting date is a POTENTIAL meeting on Thursday, July 13 at 10:00 am in th the Parks and Recreation Conference Room. If we do not meet then, we will meet on August 10. What might be on the agenda would be: th 1.Any new information on new property 2.Any new information on urn garden 3.Recent vandalism 4.Any new MDG development 5.Madeley’s donation If we do not meet on July 13, then Emily Baker will call the members and let them th know.
