1. Agenda Planning Calendar/Strategic Calendar Update: Tom Brymer, City Manager, worked
with directors to update the agenda planning calendar.
2. Microsoft Audit: Olivia Burnside, MIS Director, informed the mgt. team that Microsoft is
auditing the City. MIS is currently conducting an inventory of all software on City computers.
MIS will begin "locking down" computers to prevent employees from loading unlicensed
software onto them. If Microsoft determines the City is using unlicensed software we could
receive a substantial fine.
3. Sick Leave Policy: Julie O'Connell, HR Director, distributed the revised draft of the sick leave
policy and asked directors for feedback.
CONSENSUS: Adopt policy as it was distributed.
4. City Council Agenda Items : Brooke Brandenburg reminded directors that original, signed
copies of resolutions and ordinances still need to be turned in to him prior to 5p.m. on Council
agenda deadline day. The team discussed the use of electronic signatures and determined that
once the Legal Department begins signing electronically hard copies will not have to be
delivered to Brooke.
5 Other:
Westside Park Maintenance Building: Open house will be held today from 4:30 p.m. until
6:00 p.m. at the maintenance building.
Annual Report: Tom - Although the annual report is still months away it is time to start
gathering photos and information for the report.
Employee newsletter: Tom asked directors to make sure any pertinent information is
given to Julie. He also asked directors to assure that employees are receiving the
newsletter.
Smoking Ordinance Enforcement: Health Dept. will assist the City in enforcing the
ordinance by checking the businesses for signage, etc. when they conduct quarterly health
inspections. They will send out a letter to all the businesses they inspect inform them of
the new ordinance and what it means to them. The Fire Dept. needs to prepare a letter for
distribution to all businesses not inspected by the health department.
E -Govt. Plan: OTIS is preparing a modified e -govt. plan that includes input received
during the City Council meeting.
Management Academy: Julie O'Connell, distributed a packet of information that will be
given to employees requesting an application. The team discussed the criteria for
participating in the academy. The class will be limited to approximately 25 people.
