1. Review Coversheets for January 1 1th City Council Meeting - Glenn Brown, Assistant City
Manager reviewed coversheets and attachments.
2. Strategic Planning Calendar - Glenn Brown, Assistant City Manager, reviewed the strategic
planning calendar and items were added and/or moved to different Council meeting dates.
3. Finalized Salary Survey - Julie O'Connell, HR Director, distributed the final list of salary
equivalent positions. She would like directors to review the list and forward any changes to
her immediately. Julie plans to finalize the survey soon.
4. Imaging Project - Olivia Burnside, MIS Director, gave an update on the record management
and imaging project that MIS is implementing. MIS has hired a consultant and plans to scan
and electronic file records in Municipal Court, Police Department, and the City Secretary's
office during phase I. Items that are scanned will be placed on the network and viewable
only to the appropriate department. The project is a multi year effort to do away with paper
records throughout the City.
5. Electronic Council Agenda Phase 2 - Olivia Burnside - Eleven laptop computers have been
purchased and hard cases have been ordered. The laptops will be distributed to the Council,
Glenn Brown, Harvey Cargill, and Connie Hooks. In phase 2 of the paperless agenda
process the Council agenda will be distributed to the Council on CD-ROM instead of a paper
copy. For the first 2-3 months of phase 2 Council will receive both paper ad electronic
agendas.
6. Learning Report/Reflection Time - Item will only be discussed on the fourth Wednesday of
each month.
7. Other
Retreat - Julie O'Connell is working on the agenda for the retreat, once it is complete and she
has some ideas for facilitators she will bring the item back to the management team.
Performance Evaluations - Julie O'Connell needs all performance evaluations by Friday
January 5th
