Ringer Library Library Advisory Board Meeting—May 17, 2023 Minutes Meeting begins at 5:04 pm. 1. Opening Items A. Roll Call of Members  Eliel Hinojosa Jr, Garrett Cline, Virginia Higdon, Laura Mills, Megan Wilson, and Larry Ringer B. Recognition of Visitors –  Bryan + College Station Public Library Staff: Beatrice Saba—Library System Director, Jessica Nunez—Finance Assistant, and Derika Bailey—Larry J Ringer Library Branch Manager  Others: Elizabeth Cunha—College Station City Council 2. Minutes A. Approval of Minutes  Larry Ringer moves to approve minutes from previous meeting.  Virginia Hidgon seconds and the minutes are approved. 3. Discussion Items – The Board may discuss and provide direction on each item A. Monthly Statistics  More patrons are visiting Carnegie History Center.  Carnegie is receiving a lot of yearbooks as donations.  The number of patrons visiting and checking out materials at Mounce have increased.  The volunteer hours at Mounce have increased.  The number of people visiting Ringer increased in March.  Ringer’s study rooms, conference rooms, and meeting rooms are consistently in use.  Bea explains that there are new categories in these analytics due to what information TSLAC is asking for on its annual report. B. Board Orientation Packet  Bea lets the board know that she is putting a manual together to serve as an introduction for new members. C. Library Presentations  Summer Reading Program o Bea introduces Derika Bailey who presents on the Summer Reading Program, All Together Now. o Derika goes over the program calendar and highlights Bonzo Crunch at Mounce and the art project, with accompanying face painter, at Ringer. o There is going to be mini golf at Mounce on June 11. 46 people have already registered.  3D Printing & Policy o The system has received two 3D printers through Byrd Academy. o Byrd Academy has developed training workshops (4 levels from easy to advanced). o Bea explains that she has drawn up a policy for the 3D printers so rules and procedures are known to patrons and the library is protected. o Laura Mills moves to approve the policy and Garrett Cline seconds—motion is approved. Library Advisory Board Meeting—May 17, 2023 Minutes  Library Amnesty o Mounce has forgiven approximately $3,000.00 from 2,000 patrons. The largest being a $218 fine from an account not used since 2017. o A teen has been able to use their account for the first time since 2019. o Ringer has forgiven approximately $2,000.00 from 252 patrons. The largest one being $82. o Bea has promoted the amnesty program on radio segments, social media, on the newsletter, and the system is going to get posters. D. Other  Eliel Hinojosa Jr. presents on Humanities Texas.  They offer many traveling exhibitions on a wide variety of subjects.  Eliel states that this could bring in the public and it is perfect for a library setting.  There are mini grants available through Humanities Texas to offset the costs.  Bea says that it will be looked in to and she will report back at the next meeting. 4. Closing Items A. Library Director’s Report  Carnegie hosted the Hood’s Texas Brigade Association.  Carnegie has completed archiving over 40 years of yearbooks from the community.  Carnegie has been asked to participate in updating the Historic Preservation Plan.  The Friends of the Library hosted their semiannual book sale in April. It was the largest one ever.  A STEM program, hosted with Byrd Academy, happened at Mounce and was popular.  Ringer library had a Big Vehicles program that brought in 700 attendees.  The library system received a grant from Keep Brazos Beautiful to purchase eco-friendly children’s books and promote a green Earth.  AARP Tax Aide assisted 1,400 people with their tax returns.  Bea received TLA’s Outstanding Services to Libraries award at the annual conference. Stories of Impact  Online submission feedback regarding assistance with access and downloading eBooks; “Thank you for your efforts to help me. It works now. You are awesome.” The Carnegie History Center  Processed 24 boxes of archival collections, dating back over 150 years of valuable community information.  Hosted Downtown Bryan Merchants meeting on May 24 to reach new and old businesses in the downtown area.  Participated in the inaugural Festa Italiana, a Heritage and Food Festival in downtown Bryan on June 10, reaching over 261 people.  Participated in Juneteenth Celebration by providing genealogy assistance at the Brazos Valley African American Museum on June 19th. Clara B. Mounce  Received daily comments of appreciation from computer users and copier/printer users of step-by-step instruction.  Families were excited to have opportunity to enter into prizes for registering on Beanstack. Overall, June was a happy month for our patrons. Larry J. Ringer  From a comment card, “Lots of helpful, kind librarians and great service overall!”  Hannah on a comment card stated, “The books are just endless! Best library ever!”  Jennifer commented on Facebook regarding Beanstack, “The registration was so simple! Looking forward to encouraging my whole family to read.”  Online email submission comment from Savannah, “I just wanted to say I love the library and everything you all do for the community. I am really looking forward to the Martha Wells event and participating in the summer reading challenge!”  The front lobby display entitled ‘Be the “I” in KIND’. A lot of families have enjoyed it thus far. Hilary and daughter, Evie, taken at the Summer Reading Kickoff Party Bryan + College Station Public Library System Director’s Report May/June 2023 May – June 2023 2/4 Recent Successes or Progress  Carnegie continues to participate as a historical advisor and sub-committee member for the Historic Land Commission.  Library System’s 2023 Summer Reading Program with theme, “All Together Now: Todos Juntos Ahora” started June 1 through July 31, with new online platform, Beanstack for registration. Bonzo Crunch performed at Mounce during kick-off, bringing with over 120 attendees.  Star Wars May the 4th Be with You was well attended, with 61 participants at Ringer with Star Wars themed crafts and games and a few little Jedi knights joined in on the fun.  Adult Services at Mounce held several programs; Master Gardeners on the topic of Flower Arranging in May and Gardening with Children in June; Shaving Cream Art and Ancestry Library Edition, also in June.  Several Youth Services programs at Mounce took place; Minecraft Coding Day with Code Knights, Bilingual Musical Storytime featuring the Bryan High School Vikings Mariachi Band during regular storytime, Toddler Finger-paint Day was an instant success with 70 in attendance, Ukulele Interest Day brought in 30 people and a lot of interest.  First ever Miniature Golf at Mounce took place on June 11, where golfers of all ages and levels putted throughout the library and between the stacks. Fun was had by all with 138 in attendance. Here are a few comments from that day. i. Thank you for doing this. ii. This was so much fun, thank you. iii. I hope you do this again. iv. We’ll be back next time you do this.  Several Juneteenth Celebrations were held at our libraries i. Elizabeth Kahura shared African folklore, culture and stories at Mounce on June 15 ii. Ringer Library had a music and book signing with musical talents of The Peterson Brothers sound of jazz, blues, R&B and funk, while Van G. Garrett, artist and author signed his latest literary work, Juneteenth on June 17. iii. Juneteenth Learning and Craft day at Mounce with reading Juneteenth by Van G. Garrett and fun activity.  Award-winning, bestselling science fiction and fantasy author Martha Wells presented her latest novels Witch King and System Collapse at Ringer Library on June 24. The program was in-person with a hybrid option via Zoom. 2. Programs/Community Outreach  Carnegie presented at BVAAM’s Juneteenth celebration by providing genealogy consultation to over 100 people.  Carnegie participated in Festa Italiana, with reference questions and interest in Family Search access to international documents.  53 eager students from Forest Ridge Elementary School pre-k classes visited Ringer Library for a tour and hear all about our summer reading program. Bryan + College Station Public Library System Director’s Report May/June 2023 May – June 2023 3/4  Library System participated in storytime on May 13 for World Migration Bird Day at Lick Creek Park.  School visits took place in May to several schools, reaching lots of students in BCS to promote summer reading program.  Mounce partnered with Kiddie Castle to do a special video to encourage participation in summer reading program, provided outreach stroytime at Saddlewood apartment complex and continues collaboration with the Brazos Valley Food pantry to provide senior bags to food insecure seniors through the Senior Outreach Program.  Library System participated in Bike to Work Day on May 19 at Hensel Park to support cycling community; and at the 2033 Health & Safety Expo on June 14. Special Campaigns/Programs/Projects/Displays  Library System presented on May 17, as part of Lunch ‘n Learn, series for employees to get to know departments of the City of Bryan.  Carnegie completed its participation in the Historic Preservation Plan subcommittee, reaching 300 people during May and June’s First Fridays.  Green Library collection (KBB) at Mounce is a well-circulated collection and continues to get lots of attention. More books have been ordered and are being added to grow the collection.  Mounce arranged displays on Comics & Cartoonists May Book Display in May and World Reef Awareness Day in June. 4.
