1. Call to Order and Announce a Quorum is Present
With a quorum present, the Historic Preservation Committee was called to order by Chair Linda Harvell
at 4:04 p.m. on Monday, July 1, 2013 at the Stephen C. Beachy Central Park Office, 1000 Krenek Tap
Road, College Station, Texas 77842.
2. Hear Visitors
No visitors were in attendance.
3. Possible action and discussion on absence requests.
Committee excused the absence of Pat Cleere, who provided notification via email.
4. Discussion and possible action concerning committee requirements and policy regarding
absenteeism.
City Secretary Sherry Mashburn summarized options regarding absenteeism. She then distributed a list of
members with expiring terms. The committee voted to request that Council fill vacant positions at the

January 25 meeting instead of waiting until January.
5. Possible action and discussion of previous minutes.
MOTION: The Committee voted unanimously to approve the minutes.

6. Brief meeting introduction by Chair.
Chair Harvell introduced the meeting.

7. Possible action and discussion of 75 Anniversary related activities, including but not
limited to, sponsorships, fundraising efforts, and the Homecoming event.

Chair Harvell presented a summary of progress related to 75 activities:
City Secretary reported that $45,950 in pledges have been raised, and $26,000 sponsorship money has
been collected. Chair encouraged members to contact potential sponsors. It was reported that A&M
Consolidated alumni were in a friendly competition to determine which class could raise the most
sponsorship. The class of 1964 is currently first, and the class of 1969 is close behind.

Chair reported that the Facebook page is gaining popularity, and that the 75 Anniversary is being
announced online and in magazines such as Co-op Power and Texas Monthly.
Committee exchanged ideas for the Bush Library exhibit. Among ideas were Chair Harvell’s preference
that items from community members are preferred, such as the Corp of Cadets uniform and campaign hat
from Dr. Hoebner. Jerry Cooper reported that he is working with Mike Neu to adapt an aerial view of the
city to use in the exhibit, possibly as a projected image.
The dinner to be held at Southwood has gathered 48 rsvp’s so far. Gary Ives reported that the location
should hold approximately 150 diners. Committee discussed possible caterers. Gary Ives reported that he
intends to consult with Shannon Overby regarding potential caterers.
Libby Vastano reported that the Art and Essay contest planning was progressing. The theme proposed
was, “College Station, 75 years of Growth, Continuity and Change.” Some judges have been secured.

Committee discussed how to incorporate the contest into curriculum and other 75 events.
8. Discussion and possible action regarding the 2014 Exploring History Lunch Series,
including update regarding specific efforts to secure sponsors for 2014 Exploring History
Lunch Series.
Committee discussed the Exploring History Lunch Series. Committee discussed sponsorship and
tracking revenue from lunch fee. Chair Harvell encouraged committee to think of new sponsors
and/or speakers.
9. Presentation by staff and committee discussion and possible action regarding committee
mission and purpose, strategic planning and overall program assessment. Dialogue to
address each individual HPC existing and potential initiative from this standpoint as well.
Historic Record Coordinator distributed a handout of 360degree self assessment worksheets, and
summarized them:
-the scope and duties of the Historic Preservation Committee
- worksheets related to each HPC affiliated program for evaluation

-list of possible local partners
-notes regarding relevance and importance of Historic Preservation Programs
Historic Records Coordinator then requested that each member utilize them to evaluate each program, as
well as develop questions for the upcoming Surveymonkey questionnaire that will provide feedback from
the citizenry at large.
10. Report from HPC staff on Historic Records Coordinator Office activities.
Historic Record Coordinator distributed monthly summary to members.
11. Review, possible action, and discussion regarding the following sub-committees:
Historic Marker Program
