HomeMy WebLinkAbout10/29/2018 - Regular Minutes - Senior Advisory Committee College Station Senior Advisory Committee Regular Meeting October 29, 2018 Southwood Community Center 1520 Rock Prairie Rd. 9:30 a.m. Minutes Members Present: Jean Adams, Margaret Carmichael, Bryana Childers, Frank Duchmasclo, Sherry Erwin, Anna Hest er, Arlene Petroski, Mickey Stokes, Barbara Pratt, Norma Teetes, Patricia VanderBoom, Darla VanFickell and Janet Wood Staff Present: Kelly Kelbly, Ana Romero, Katy Peterson Visitors Present: Maxey Riggs, Cecilia Yip & Ann Hays I. Chairman Mickey Stokes called the meeting to order at 9:32 a.m. II. Hear Visitors – Cecilia Yip reported that the Arts Council had moved into their new facility. She brought a brochure to show the committee and she mentioned that the new elevator was having some issues. She urged the committee to visit the Arts Council and wants all of the senior information at the Arts Center. Cecilia encouraged people to be involved with the development of the Meyers Center. She was concerned about building safety issues for seniors and wants the committee to give feedback to Kelly Kelbly. III. Approval of minutes from meeting held on September 24, 2018: Norma Teetes made a motion to accept the minutes with the time change from 9:15 to 9:30 a.m. on the meeting start time. Barbara Pratt seconded the motion. The motion passed unanimously. IV. Update on the Bob and Wanda Meyers Senior and Community Center from Kelly Kelby, Assistant Director of Parks & Recreation and Ana Romero, Recreation Manager: Kelly handed out floor plans to each committee member that showed side by side comparisons of the current floor plan and the updated plans. She said the Marek Brothers were awarded the 180 day contract which would give them through the end of April to do the construction. That did not include any rainout days or additional construction issues found during demolition and construction. Kelly was hopeful that programming would be in the building the summer of 2019. She reported that the building currently floods and that all of the current concrete would be ripped out along with part of the structure of the building will be repaired and built to the correct codes. Currently the city has covered the cost of the engineering and architectural fees. Typically these fees make up about 1/3 of the entire building renovation budget. Kelly said that currently there is about $200,000 left in the budget City of College Station Page 2 of 3 after architectural & engineering fees. Kelly said that between $225,000 and $305,000 of the Meyer’s fund would go to fund the renovation project. Pat VanderBoom asked a question about the language of the Meyers Funding Contract and Kelly replied that it had been reviewed at the State level to ensure the funds were used correctly. Pat also asked about the square footage of the new Multipurpose Rooms in comparison to the Game Room at SWCC. The footage was not listed on the floor plan handout. Kelly did not have the exact figures and apologized for not having the footage. She said it was possible that the line dancing and lunch lectures would be moved to larger facilities such as the Lincoln Center. Mickey asked about a wall on the floor plan that the committee had asked to have removed or an accordion wall installed. Kelly stated that the wall was load bearing and due to the location of the restrooms and hallway could not be changed. Kelly said the Meyers Center furnishings would be included and the staff would pick out the furniture. The City takes custody of the old Arts Council building today. Mickey thanked Kelly for the information. Kelly also said that the lobby will have a small desk at the back of the room for check in. There will be laptops available for check out since there is not a full computer lab there. The lobby will have a coffee shop or small café feel to it with couches, tables, chairs and free Wi-Fi. Kelly reported that the entire facility would be fully ADA accessible. There was also individual one on one discussion with Kelly, Ana & committee members over the floorplans. Kelly & Ana went around the room and answered questions from each board member. Frank Duchmasclo asked about the large triangle shaped concrete area in the entrance of the building. Kelly said that the original plans did factor in putting a roof over that area and enclosing it. The original plans also expanded the facility out more towards the festival site. Kelly said that it would cost 4-6 million dollars to build it out like the original plans were drawn. The new facility will offer more parking, newer and more amenities and be fully ADA compliant. Mickey asked if the Senior Advisory Committee would be able to see the building or get a tour as updates were made. Kelly said that she would have Erica Wozniak give a tour and information. Kelly also informed the Committee that the parking lot at SWCC would be redone in stages starting next week. They were planning to do sections or stages at a time so that portions of the parking lot in front of the building would remain open. The lighting, pavement, and drainage would all be redone. Mickey thanked Kelly and Ana for coming and said she was thankful that we were moving forward. V. Remarks and possible discussion by Chairman Mickey Stokes: Norma Teetes brought in a sympathy card for the Committee to sign for Jerry Crockett, the former chairman who recently lost his wife. Mickey announced this and asked everyone to sign the card. Mickey also mentioned the term limits and that the committee needed to get out there and start recruiting some good candidates. Mickey and Katy will get together and look over the terms to see who is going off and who is eligible to run again. VI. Presentation, possible action and discussion on Senior Services Coordinator Report regarding current and upcoming programs and events • October 25: Fall Fest @ American Pavilion from 5-7 p.m. – We had our largest attendance with a conservative estimate of over 400. Next year we may combine the dance with the Fall Fest and offer golf cart shuttles to and City of College Station Page 3 of 3 from the parking lot to the American Pavilion for the seniors. Next year we will have a PR committee. • November 8: Houston Day Trip to Nutcracker Market is sold out • November 9, 16, 30 & 12/7: Interactive Art & Crafts Workshop with Electronics taught by Dr. Seo with 1 on 1 instruction from 3:30 – 5 p.m. Space is limited – must RSVP at the front desk. TAMU College of Architecture • November 14: Lunch and Learn – Transitional Care & Rehabilitation by Jessica Garner with Accel. RSVP at front desk. • November 14: Exploring History Lunch Lecture – “Aggie Bonfire” by John Comstock • November 19: Thanksgiving Pot Luck Rehearsal Dinner from 11:30 a.m. – 1p.m. We provide the turkey and everyone brings a covered dish. No line dancing this day and Forevercise will have a delayed start at 2 p.m. • November 22-25: Center is closed for Thanksgiving Holidays • November 27: Potluck & Pizza Social with the Jam Session Players. Please bring a dish to share and join in this fun and entertaining social. VII. Presentation, discussion and possible action on future agenda items: A Committee member may inquire about a subject for which notice has not been given. A statement of specific factual information or the recitation of existing policy may be given. Any deliberation shall be limited to a proposal to place the subject on an agenda for a subsequent meeting. • Next Meeting: November 26, 2018 at 9:30 a.m. • Recommendations for Chair and Vice-Chair for 2019 • Service award presentation for outgoing members VIII.
