Call to Order The 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:30 a.m. on October 10, 2013 in the College Station City Hall, 1101 Texas Avenue, College Station,TX 77840. 2.Hear Visitors There were no visitors. 3. Consider Approval of Previous Minutes MOTION: The Committee voted to approve the minutes. Minutes were approved with minor changes. 4. Sponsorship Workshop Chair Harvell introduced the meeting and addressed committee. Chair reported that the City is waiting until the new City Manager starts to determine if and how funds donated to the 75th Anniversary can be earmarked for Preservation efforts. Mike Neu reported that the large donor recognition plaques are currently being printed. Mike Neu reported that he was arranging to have a signed picture of the former mayors to provide to major sponsors. 5.Promotion and Media Insight Magazine is in process of doing a story related to the 75th Anniversary. The Union Pacific will also be designating College Station as a member of the Traintown USA recognition program. RM101013 Minutes Page 1 6. Bush Library Exhibit Update Mike Neu reported that progress on the Bush Library exhibit is delayed because of the furlough of Federal employees. He had no update concerning an estimate when they would return to work. He stated that the exhibit development will resume once employees are allowed to return to work. Committee discussed aspects of the exhibit. Mike Neu reported that the model train display will be substantial in size and level of detail. It was reported that a copy of the 1895 "olio'.' magazine was available for the exhibit, as well as several copies of the Longhorn. The Garden Club reported that they will be providing three arrangements to be incorporated into the exhibit. 7.Homecoming Events, planning October 22 VIP event: Committee discussed the October 22, VIP event. It was reported that the event will need to be rescheduled, but no estimated date is possible until the government shutdown ends. Committee determined to contact VIPs to update them of the planned rescheduling. ` Friday,November 15 Homecoming event at Southwood: Committee discussed the dinner and event at Brian Bachmann Park. Committee discussed conflicting reports of the seating capacity at the facility and determined to find the actual capacity. If necessary a tent will be reserved, or possibly another venue accommodation will be made. It was reported that 60 reservations for the dinner have been received. The cost to attendees for the dinner will be $12 per plate. JJ's Liquors is planned to arrange the cash bar. Saturday November 16th Event,Bush Library and Grounds: Committee discussed the Event at Bush Presidential Library. Allison Meserole reported that she has developed a schedule for much of the entertainment, to include two Choirs, and several dance troupes. Committee discussed ideas for risers and a piano or keyboard to facilitate the entertainers, as well as plans to accommodate the teen rock group that has agreed to perform. Arrangements for square dancers and a pipe and drum group were discussed, but none had yet been confirmed. Committee discussed documentation of the event, and Mike Neu reported that he was developing plans to have a storytelling room. Mike says could little storytelling room. With Roger WW Garrett.Need to confirm that room is available, tentatively so. Mike will have a visual up to go up with story. Do they have anyone who will record the event? Photographer or videographer. Mike will do, and Mark Beal can as well. Mike wants pro to take studio quality photos of all the items used in the exhibit. Plans for the children's train ride, the appearance of Reveille to attend the cake ceremony at 3 were confirmed. Ringer Library and City Hall Exhibit Cases: RM101013 Minutes Page 2 Tom Taylor reported that he had developed an exhibit at Ringer Library utilizing history books and historic images. After discussion, Tom Taylor offered to develop an exhibit for the currently empty display case in City Hall, similar to the one he developed for Ringer Library. 1938 House Signage: Jerry Cooper displayed a sample of the yard signs to be displayed at homes present at time of incorporation. Carter Park Re-dedication: Jane Cohen reported that the rededication ceremony for Richard Carter Park will occur on Friday, November 15th, from 11 to 12. The committee agreed to donate $100 to help fund the replacement interpretative signage. 8.Report- Car Show B. B. Holland reported that he estimated to have 45-50 cars for the show. Committee discussed overflow parking for support vehicles for those showing. Committee discussed providing goodie bags and basic refreshments for those showing vehicles. 9.New Business Chair Harvell announced that the 75th Committee would begin to meet on a weekly basis. 10. THE NEXT MEETING OF THE 75th ANNIVERSARY PLANNING COMMITTEE IS SCHEDULED FOR THURSDAY, October 17,2013.
