Call to Order The 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:30 a.m. on September 12, 2013 in the College Station City Hall, 1101 Texas Avenue, College Station, TX 77840. 2. Hear Visitors There were no visitors. 3. Consider Approval of Previous Minutes MOTION: The Committee voted to approve the minutes. Minutes were approved with minor changes. 4. Sponsorship Workshop Chair Harvell introduced the meeting and thanked all of the 75th anniversary committee members for their efforts, and announced that most of the pledged funds have been received. Union Pacific presented a $10,000 check in a public ceremony. Committee discussed measures to ensure that funds donated for 75th related purposes would be reserved exclusively for that purpose. 5. Promotion and Media Committee discussed recent developments in promotion and media for 75th events: The Eagle newspaper did an article related to the Union Pacific donation, and is planning to interview residents about their College Station memories. A small piece will also appear in Texas Monthly magazine. Mike Neu reported that he had created informational booklets and fliers. 6. Bush Library Exhibit Update Mike Neu reported that preparations for exhibit construction were ongoing, and scheduling and pickup for transfer of donated items had begun. Items are being donated directly from the lender to museum staff, and City employees are facilitating the logistics of transfer. Committee discussed specifics of exhibit, including ways to best incorporate floral arrangements created by the Garden Club into exhibits. Committee discussed possible items for donation to the exhibit including: Shot put Olympic torch High School memorabilia including letter jackets, pennants, class rings, and trophies. Yearbooks Committee members were requested to volunteer to serve as docents, or recruit potential docents. 7. Homecoming Events, planning Committee discussed the Homecoming Event (Friday, November 15). Linda Harvell announced that tickets for the dinner were available for $12 per ticket from txtraders.com. It was reported that J.Cody’s could cater full bbq plates, cobbler, and gratuity for $9.50 per plate. The deadline to secure and pay caterer is a week in advance of event. The Hilton indicated that they could provide the cash bar. Attendee numbers will be controlled through a list at the door. Capacity is 150 persons, plus 150 at the pavilion. The deadline to purchase tickets is November 1st. Mayor Ben White advised planning for extra tickets to prevent disappointed visitors. Committee discussed the overall level of exclusivity of the dinner and event, and decided to revisit at next meeting. Committee discussed potential entertainment for 75th events, in addition to Chris Austin Martinez. Suggestions included: Greg Tivis Squaredancers Bagpipers Lone Star Dancers Little Wranglers Dave Ruesink suggested contacting the Arts Council of the Brazos Valley for more ideas. Worldfest Committee discussed having a presence at Worldfest. They discussed locating information at the Arts Council building. Henry Mayo offered to loan a classic vehicle for display. Historic Houses Jerry Cooper reported that roughly 50 owner-occupied houses have been identified in the city that predate incorporation. Committee discussed design of yard signage to recognize these buildings. The signs are planned to be installed in October. Carter Park Re-dedication Jane Cohen reported that the Garden Club will have an event at Carter Park on November 8th. Ringer Library Display Tom Taylor reported that he is developing material for the Ringer Library display case. Docent and Volunteer Shirts Committee discussed providing shirts to identify docents and volunteers. Committee distributed a list to record volunteers’ shirt sizes. 8. Report- Car Show So far, over 30 cars are registered for the event. Committee discussed availability of space for parking trailers. Tracy Paine indicated that space should exist in lot 113. Parks Department will provide port-a-potties and a tent. 9. New Business 10. THE NEXT MEETING OF THE 75th ANNIVERSARY PLANNING COMMITTEE IS SCHEDULED FOR THURSDAY, October 10, 2013.
