1. Call to Order
The 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:35 a.m. on February 14, 2013 in the College Station City Hall, 1101 Texas Avenue, College Station, TX 77840.
2. Hear Visitors
There were no visitors.
3. Consider Approval of Previous Minutes
MOTION: The Committee voted to approve the minutes. Minutes were approved with corrections.
4. This meeting will be held in a workshop format, with 3 major goals:
I. Refine Bush Library Exhibit Development
Committee discussed the Bush Library exhibit, on the following topics:
Clarified process for submitting for exhibit content Items/ stories that are suggested for use in the Bush exhibit are handled as follows. A description, including overall size, and
image of the item is provided to Mike Neu or Jacob Morris. These descriptions will be used to develop exhibits with Susie Cox, the head curator of the Bush Library.
Preferred strategy for collecting exhibit items The Committee discussed the relative merits of an open-ended collection strategy and a collection strategy based upon structured call
for items based on specific topic. Several members supported a compromise strategy, and requested some guidelines of items to collect. Bush staff encouraged committee to collect information
for item loans as soon as possible, because one exhibit will be ending in July. Committee also suggested recognition of donors of substantial exhibit content, as an incentive to lend
items as well as to show appreciation.
Ideas for specific exhibits Committee members proposed several ideas for specific exhibit content, such as:
A visual timeline of local radio stations, with narrative and images of broadcasts, call-sign logos, etc. as well as period radios and equipment.
Adaptive reuse of damaged THC marker formerly located by Albritton tower.
Exhibit that utilizes Project HOLD
Exhibit that utilizes and/or captures oral history.
II. Finalize Sponsorship Packet and talking points.
Mike Neu distributed a sponsorship packet, suggested talking points, and a press release for review. Sherry Mashburn reported that a thank you receipt, and an in-kind donation form had
been created. For reference, it was reported that monetary donations were believed to be tax deductible, but in-kind donation was not. Donations are to be turned into the City Secretary’s
office for processing. All donations will be handled through unique project codes. The donations collected will be tracked in a spreadsheet that would be recorded in a monthly spreadsheet.
Committee agreed to create a master list of potential sponsors, which would be updated and distributed to avoid contacting the same potential sponsor multiple times.
III. Finalize a timeline for specific activities and events.
Committee discussed the timeline for specific events. Tracy Paine reported that the Bush exhibit will extend from October 21 to January 4. The grand opening event is scheduled to be
held on November 16th. No firm date is set for the separate VIP/Sponsors’ event.
Mike Neu submitted an email summarizing Bush library-related business:
November 16 = Public event day will include free admission to the College Station exhibit during normal hours of operation. It is possible that the Library may also offer public admission
to the 75th exhibit on Sunday the 17th as well, but is unconfirmed
Separate tickets will be issued for the 75th exhibit on those days.
The VIP reception date is undetermined.
Bush library staff and the City of College Station Risk Manager will coordinate insurance for exhibit items.
Figures estimating the total Bush Library contribution are still being finalized.
5. Additional Planning and Reports related to 75th Activities
B. B. Holland reported that he is waiting on approval and feedback regarding the legal statement on the Car Show Form.
Committee discussed publicity for the 75th. Allison Meserole submitted a pamphlet with two major ideas for publicity:
A regular Infomaniacs segment on WTAW.
A 75th Memories segment on Bryan Broadcasting Stations and possibly Brazos Valley Communications.
Linda Harvell reported that she will be appearing with Sharon Colson soon.
6. New and Other Business
THE NEXT MEETING OF THE 75th ANNIVERSARY PLANNING COMMITTEE IS SCHEDULED FOR THURSDAY, MARCH 14, 2013.
7. Adjournment
MOTION: There being no further business, the Regular Meeting of the 75th Anniversary Committee was adjourned at approximately 10:00 a.m. on Thursday, February 14, 2013.
