HomeMy WebLinkAboutMEETING NOTES 75TH ANNIVERSARY_04_08_11 (2) City of College Station: 75th Anniversary Planning Committee 1/3 March 14, 2011 75TH ANNIVERSARY PLANNING COMMITTEE MEETING NOTES College Station Conference Center 1300 George Bush Drive April 8, 2011 NEXT BROWN BAG MEETING: May 13, 2011, at 11:00 a.m. The mission of the 75th Anniversary Planning Committee is to commemorate the 75th Anniversary of the City of College Station, home of Texas A&M University, by celebrating the past, honoring the present, and embracing the future. In attendance: Linda Harvell (chair), Anne Boykin, Patricia Cleere, Jerry Cooper, David Gerling, Susan Irza, Julie Schultz, Ben White. Great group! Great energy! 1. Call to Order. Linda welcomed the committee at 11:08 a.m. 2. Welcome Visitors/Hear Visitors - No new faces present. 3. Overview of March 11 meeting – Linda gave a brief recap of the March meeting. The meeting was small but full of great ideas. Jerry introduced the newsletter idea that folks in Texas City are doing to create an early interest in their 100th anniversary event that will include the school alumni. Patricia introduced the “mash” or “flash” event as an idea that would create interest without adding expense. 4. Report on the Book Project – Anne reported she and that Jim Railey (Donning Publishing rep) met with Celia Goode-Haddock at University Title, a possible sponsor. University Title turned down the opportunity but wished us well. Celia also gave us a detailed list of possible contacts. Anne mailed introductory letters to them last week. Jim is in the process of setting up appointments. They will meet with Anco Insurance on Tuesday, April 12. Jerry is compiling a definitive list of election dates, candidates, vote tallies, terms, and special circumstances of vacancies or special elections. This information will be included as an appendix in the book. 5. Report on the Time Capsule – Anne has been discussing the possible location for the time capsule. The committee suggested Veterans Park and Athletic Complex (VPAC). David G. City of College Station: 75th Anniversary Planning Committee 2/3 March 14, 2011 reported on the email conversations with David Schmitz (interim director PARD) and Anne. A possible location could be along the American Mile Path where the 1938 paver lists the city incorporation. The paver reads: ELECTION APPROVES INCORPORATION OF CITY OF COLLEGE STATION BY VOTE OF 217-39. Anne will “dig up” the list of items that were placed in the City of Bryan time capsule a few years ago. Ben suggested that we need to place an iPhone in the capsule. Historic Preservation Committee member James McGinnis has given us rough cost estimates for the capsule. He believes that his company (Lyntech) could make the capsule for around $1,000. The committee will solicit suggestions for items to be included. A steel bench placed near the capsule could be painted with the anniversary logo. 6. Discussion: Event Time Line Friday, October 19, 2012 – Book Signing as a kick-off for the anniversary year. Friday, October 18, 2013 – Gala & Banquet (VPAC) honoring city leaders, community leaders, notable citizens, teachers, Fire and Police personnel; community and school homecoming Saturday, October 19, 2013 (Aggie game is away at Iowa State) – Installation of Time Capsule Tailgate BBQ – American Pavilion parking lot Community & Alumni Homecoming Displays and Exhibits – Under the Big Top adjacent to the American Pavilion Monday, November 11, 2013 – Special recognition of area veterans during the annual Brazos Valley Veterans Memorial Board of Directors Veterans Day event. Other projects under consideration – Brazos County cemetery brochure of notable citizens – This topic created several tangents that included: GIS cemetery layer, cemetery locator list at the cemeteries and online, Boy Scout projects. It would be necessary to include cemetery boards, area cemetery associations, Brazos County Historical commissions, and genealogical organizations. We would need to see what currently exists. Rev. Watson and Bill Page (Evans Library) were mentioned as resources. Information could be included as an appendix in the history book. 7. Creation of Sub-Committees PR/Marketing/Web presence/Merchandising – Anne Boykin, Mike Neu Gala & Banquet – Julie Schultz, Linda Harvell Tailgate BBQ Homecoming Time Capsule – Patricia Cleere Flash Event – Patricia Cleere Safety Saturday Display – David Gerling Exhibits Fundraising/Corporate Sponsorships Host Committee Council & Community Liaison – Ben White Book Project – Anne Boykin, Glenn Davis, Jerry Cooper Historic Preservation Committee Liaison – Susan Irza 8. Future Agenda Items BUDGETS! – Linda and Anne will come back next month with a suggested budget. Adjourn Miscellaneous Notes: Let the record show that Julie, using an iPhone, came in first in the Google-Off with Mayor White, using an iPad. Mayor came in a very close second with results on the football schedule for 2013. Mayor also added to the meeting with a listing of cemeteries in South Africa, a list of cities celebrating anniversaries, and a reference to the January 2010 council meeting where the 75th anniversary planning committee was first announced. And a grand time was had by all! Anne will prepare talking points for Mayor White and others who will be networking in the committee.
