Visitors were Patricia Crawford, Wendi Lamphear, Nina Leverkuhn, and Charlie Shear. Larry Ringer welcomed Lois Koontz as the new library board member. 3. Larry Ringer called the meeting to order at 5:15 p.m. 4. The minutes of the November 18,2003 meeting were approved as distributed. 5. The statistics for November and December 2003 were reviewed. Mrs. Mounce stated that December is usually the lowest month of circulation. She distributed statistics showing circulation of both libraries for the first three Sundays of 2004 and is pleased that Bryan circulation does not seem affected by new hours at the College Station Library. 6. In old business, the meeting room reservation policy was discussed. The proposed changes included a • - revision in the policy that a group may request an exception to the policy that states the-large-meeting room-may - be booked once a month up to three months in advance. The Community Librarian or the Branch Manager may approve exceptions to the policy. Jeanne Mitchell made a motion to approve; seconded by Charles Smith,the motion passed. 7. In new business, copies of City Ordinances for committee attendance were distributed. College Station requires a completed form in advance if a member is unable to attend a meeting whereas Bryan does not require one. James Bradford commented that he will be teaching in Italy from August to December and will miss the September and November meetings. 8. In the librarian's report, Mrs. Mounce stated that six librarians will attend the Texas Library Association Annual Conference to be held in San Antonio the week of March 17-20. Mrs. Mounce will again facilitate the author's area at the conference. Robert Borden is writing a book sponsored by the Heritage Society and has requested historic photos from the Community Librarian. Also, the City of Bryan Annual Report will have a historic theme and will use copies of historic photos archived at the Carnegie History Center. The Heritage Society may commission a children's book on the story about President Roosevelt's visit to the Texas A&M Campus in the early 1900's;Mrs.Mounce is on the committee to select an author for the project. Mrs. Mounce reported that she and Larry Ringer attended the Central Texas Library System meeting in Giddings on January 14, 2004. There was much discussion about the fact that the City of Austin now operates CTLS and there is consideration for the system to be maintained and operated by a non-profit group.The CTLS staff will conduct a public service workshop at the library in the coming months. Mrs. Mounce stated that the refurbishing of the College Station Library went well and opened for Sunday hours on January 4,2004. In other announcements, Charlie Shear invited the members to the College Station City Council meeting on Thursday, January 22, 2004 for proclamation of"Larry Ringer Day". Mr. Ringer retires from Texas A&M University on January 31,2004. The Friends of the Library will host an Author Luncheon on April 24 and the Book Sale is scheduled for April 3,2004. • 9. There were no agenda items for the next board meeting which is rescheduled for the 4th Tuesday, March 23, 2004 instead of the third Tuesday that falls during Spring Break. 10.
