Roll Call — 12:07pm — Mike Newman called the meeting to order. Attending the meeting are the following members: Bill Adams Steve Beachy Brian Hilton Jim Singleton Amy Zaragoza Anne Boykin Marco Cisneros Jerry Fox David Sahm Mike Newman Ron Silvia Travis Small Russell Bradley Chip Dawson Fain McDougal John Velasquez 2. Approval of Minutes — A motion was made by Marco Cisneros and seconded by Russell Bradley to approve the minutes for the February meeting. The motion was unanimously approved. 3. Reports of Officers: a. President's Report — Mr. Newman mentioned that Irma Cauley was elected into office. He thanked Jerry Fox for helping Randy House with the money transfer from the Korean Sponsors for the Korean War Memorial. He mentioned that Brian Hilton is updating the current goals. He has asked Mike Beal to help with the verbiage on the By -Laws, and George McCoy to add some verbiage for the annual audits. He asked that there be a review every year, and that there be a full audit every three years. Steve Beachy informed the Board that the City of College Station requires that the Board have a full audit every year to receive funding from the city. Ron Silvia said that every organization that receives funding from the city will have to have a yearly audit. David Sahm inquired about the cost of a full audit. The cost of a full audit would cost the organization $3,350.00. b. Vice President's Report — No report at this time. c. Treasurer's Report — Brian Hilton went over the Treasurer's Report with the Board. He described all of the monthly transactions that occurred during the previous month. I. Approval of Treasurer's Report (February) — A motion was made by Chip Dawson and seconded by Steve Beachy to approve the Treasurer's Report. The motion was unanimously approved. d. Secretary's Report — No report at this time. 4. Committee Chair Reports: Design Committee — Steve Beachy said that a group went to the J.Payne Lara studio this past week, and that the model was very well made. Mr. Lara is planning on taking the model to Lubbock this week to get it casted. It will be casted in bronze. Mr. Beachy described the process that it will be going through to complete it. He passed around an estimate of what it would cost to order a small version of the statue. Mr. McDougal said that there will be a limited number of the statues made. Travis Small mentioned that it might be a good idea to order accordingly to what the Board members might want to order, and then order a few extra to sell to others. Jim Singleton said that it might be a good idea to eventually get a display somewhere for all of the smaller statues. Mr. Singleton asked the Board where a good place might be to display all of the statues. Mr. Beachy said that once the full scale statue is placed out at the Memorial that they smaller versions will sell quickly. Mr. Newman said that he would think it would be a good idea to order twenty of them, and thinks that the Board would be able to sell all twenty of them. Mr. Singleton said that the Board should speak with Mr. Lara about making all of the smaller versions of each memorial be made the same size. David Sahm said that the display might be one that moves from one place to another for display. Mr. Beachy asked to approve the $10,000.00 for the second part of the statue to be funded. A motion was made by Steve Beachy and seconded by Ron Silvia to approve the $10,000.00 paid to J. Payne Lara for the second part of the statue. The motion was unanimously approved. A motion was made by Steve Beachy and seconded by Marco Cisneros to approve ordering twenty of the smaller version of the statue and not to exceed $18,000.00 and that the distribution and pricing of these statues will be controlled by the Board. The motion was unanimously approved. A motion was made by Russell Bradley and seconded by Steve Beachy to fund the start of the second statue by J. Payne Lara for $10,000.00. The motion was unanimously approved. II. Membership Committee — No report at this time. II. History Committee — Anne Boykin said that she has not heard from an exact shipping date from Pannier Graphics. Mr. Beachy asked the Board Members to help with the assembly of the interpretive panels when they arrive from Pannier Graphics. Ms. Boykin is going to be sending out a press release with the new board members names. She mentioned that the American GI open house will be held March 19 -20, 2010. III. Special Event Committee — Steve Beachy said that it might be a good idea to have an open house on the trail once all of the interpretive panels are in place. He said that it would be good to have representatives from the City of Bryan and College Station, Brazos County, a representative from the Texas Department of Parks & Wildlife. He mentioned that March 27, 2010 might be a good idea. The Korean Memorial groundbreaking would be held on June 25, 2010. The American Revolution Memorial dedication would be held on July 1, 2010. The Texas Independence Memorial dedication would be held on October 1, 2010. The Korean Memorial dedication would be held on November 11, 2010. Mr. Beachy said that Randy House has mentioned that Mr. PakSun will try to attend the dedication of the Korean Memorial site. Mr. Beachy said that the above dates are open for discussion. IV. Development Committee — Fain McDougal said that he spoke with a possible donor recently, and believes that she will consider one of the memorial sites. He said that Emil Ogden might be another possible donor for one of the memorial sites. He said that he feels that once one of the statues and interpretive panels are up, then more individuals would be more likely to decide to do a sponsorship of a war memorial site. Mr. McDougal thanked Anne Boykin and Chip Dawson for their hours of endless work on the interpretive panels. 5. Old and Unfinished Business — Marco Cisneros asked if the By -Laws need to be brought back to the April meeting. Mike Newman said that they will be completed before the next meeting. 6. New Business — None to report at this time. 7. Good and Welfare — David Sahm said that he will be leaving for a work assignment at the United Arab Emirate. Mr. Sahm said that it would be good to take this information to the Noon's Lion Club after the interpretive panels are in place to help with sponsorship. 8.
