Call to Order and Announce a Quorum is Present With a quorum present, the 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:32 a.m. on Thursday, January 12, 2012 in the College Station Conference Center, 1300 George Bush Drive, Room 102, College Station, Texas 77842. 2. Hear Visitors There were no visitors. 3. Discussion: Where We’ve Been . . .and Where We’re Going Chair Harvell reported that the original planned date for the celebration may not be viable. She is waiting to learn the SEC 2013 schedule to make sure the event does not conflict with a home game. A free-flowing discussion followed; high points included: RM011212 Minutes Page 2 • A vintage softball game will be organized by the Parks and Recreation department. It was suggested that perhaps this would be a good time and venue for the annual Chamber softball game. This would be on Saturday. • The gala will be on Friday evening, and will include dinner and an awards program. • Susan Irza reported that the cost of a time capsule is about $3,000. Archival kits are also available for an additional cost. Staff requested information about the contents of the kits because they might already have those supplies on hand. • Discussion was held regarding a website for the event. Jerry Cooper recommended that we look at the website Texas City developed for their 100th anniversary. Mike Neu stated his goal of having the website pushed out on January 1, 2013. He will be working with Jacob Morris to get material from Project HOLD to begin the design of the website. He also said he would like to see us add an historical element to existing events, such as the Star Light Music series and the Hot Rod show. This will help to get the word out about the event. • Methods of advertising were discussed. There is an Exploring History Lunch Lecture on January 18, and we can begin there. We also have the mailing lists for the lunch lecture series. Committee members can speak at civic associations, churches, neighborhood associations, and senior living centers. It was stated that the senior living centers are a good source for historical material. A digital logo is being designed to allow committee members to attach same to their personal emails to also increase public awareness of the event. Chair Harvell said she would contact the State Tourism Association for information. Ben White stated he would visit with senior Kroger management about displaying the anniversary logo on the stores’ shopping bags. • Fundraising was discussed. Sponsorships will be sought, and Mike Neu presented an idea to encourage sponsorship from local business. Businesses could purchase a window decal or counter placard with the 75th Anniversary log on it. The company name would be on it, along with a QRC (bar code) that when scanned with a smart phone will link to the business’ website. Items that could be sold to raise money include bricks, challenge coins, and lapel pins. An historic home tour could also be conducted. • Exhibits will be displayed at Veteran’s Park the day of the event. They can also be displayed beforehand in the rotunda of the Bush Library. This will serve a dual purpose in that it will also help to advertise the upcoming event. The event can also be advertised at library events such as the Easter Egg Hunt and Fourth of July. • Committee Appointments: Pat Cleere and Susan Irza are on the Time Capsule sub-committee, with Pat Cleere as chiar. Travis Paine will join Ben White on the Speaker’s Bureau. Ann Hays and Sally Henderson will join Jack Fugate on the Homecoming/Reunion sub-committee. 3. Adjournment MOTION: There being no further business, the Regular Meeting of the 75th Anniversary Committee was adjourned at 10:15 a.m. on Thursday, January 12, 2012.
