Ben White City Staff: Sherry Mashburn, City Secretary, arrived after roll call Jacob Morris, Historic Records Coordinator Mike Neu, Multi-Media Coordinator David Schmitz, Director, Parks and Recreation Department 1. Call to Order and Announce a Quorum is Present With a quorum present, the 75th Anniversary Committee was called to order by Chair Linda Harvell at 8:30 a.m. on Thursday, May 10, 2012 in the College Station Conference Center, 1300 George Bush Drive, College Station, Texas 77842. 2. Hear Visitors There were no visitors. 3. Consider Approval of Previous Minutes MOTION: The Committee voted to approve the minutes as submitted. The motion carried unanimously. 4. Chair Report Chair Linda Harvell reported on 75th Anniversary activities. She indicated that a precise schedule of events is still undetermined until the athletic schedule for TAMU is finalized. Additionally, the Texas Reds event is now moved to early October. 5. Committee Reports a. Public Relations and Marketing Mike Neu reported that varied public relations and marketing campaign is being developed. The city website, public media, and other methods such as utility bill inserts will be utilized to raise public awareness. Priscilla Miller suggested that KBTX and other television be contacted. b. Exhibits Mike Neu reported concerning exhibits. He stated that three months are available to construct the Bush Library exhibit. Staff has allocated approximately 3000 sq. ft. of space. Bush library staff will handle logistics and care of items. Several ideas were presented for exhibits including items such as: A vintage city firetruck. An early female Corps of Cadets Uniform. Old city street markers. A reproduction façade of the train station. Banners (to be used in other capacities outside the library as well) Adapting the 1938 map from Jerry Cooper that depicts campus houses. Jerry Cooper stated that he was searching for images of the old music hall on campus-currently he only has images of it being demolished. Members also presented ideas for exhibit themes, including: Historical examples of cooperation and relationships between Bryan and College Station. Parks in the city, especially from a local perspective (i.e. billy goat bridge, Bryson/Dexter park) The loosely structured conversation turned to data collection for exhibits. Mike Neu stated that he has an intern that can help with conducting story interviews. Several ideas for story sources were presented, such as: Former Mayors Ms. Knowles, a former teacher The Madeley Pharmacy Holicks Boots Mike Neu outlined the procedure for collecting items and stories. A cover sheet has been developed that potential donors can use to attach their ideas for content. Ideas for potential items will have an image attached, and ideas for narratives will have a summary of the narrative content. These can be dropped off at the conference center main office. An online form for submission is being developed as well. The actual items will be collected approximately a month in advance of the exhibit. Chair Harvell offered to hold potential items to be loaned that the donor could not deliver closer to exhibition opening. It was suggested than once dates for exhibits were set, schools should be contacted to arrange field trips. c. Committee Chair researching 2013 City Council recognitions of prominent residents and businesses Chair Harvell reported that this is ongoing. d. Activities- Day of Event- Brainstorm ideas Bill Harper reported that he has contacted the local Symphony. He stated that they are usually paid, but may provide services at diminished or no cost, if they are given opportunity to advertise. Chair Harvell stated that entertainers generally will not confirm until a firm schedule is determined. 1938 map- from cooper e. Volunteers and Outside Organizations A call for volunteers was made. It was suggested that Arts Council involvement should be beneficial. 6. Speaker’s Bureau- Mayor Ben White Mayor Ben White indicated that he has begun making contacts. 7. Fundraising- Don Barber/Linda Harvell- Sponsorship Packet Don Barber was not present. Chair Harvell stated that efforts were ongoing. 8. Budget Mike Neu reported that the total cost for the Bush Library exhibit has been estimated as high as 75k. He stated that donated labor and materials would diminish costs. He estimated a cost of approximately 10 dollars per square foot, about 15-30K total cost. Fundraising will be necessary, because the City has no funds allocated for 75th Anniversary activities. 9. New and Other Business Mike Neu recommended that for the next meeting everyone bring a short story about College Station and one picture or artifact. THE NEXT MEETING OF THE 75th ANNIVERSARY PLANNING COMMITTEE WILL BE HELD ON THURSDAY, JUNE 14, 2012. 10.
