HomeMy WebLinkAbout07/21/1982 - Regular Minutes - Bryan College Station Library System Advisory Board MINUTES OF A REGULAR MEETING OF THE BRYAN LIBRARY BOARD JULY 21, 1982 The Board of Trustees of the Bryan Public Library met in regular session in the library at 5 p.m. July 21, 1982. Present were Mrs. Bookman Peters, president; Mrs. Willie Pruitt, Mrs. Willie Belle Bogard, Mr. Mickey McGuire, Mrs. Clara Mounce, city librarian, Mrs. Jean Muetzel, Librarian II, and Miss Sue Sommerfeld, children's librarian. Excused were Mrs. C. J. Allen, Mrs. Richard Harrison and Mr. Vic Paulos. Miss Sommerfeld gave a brief presentation using the new sound filmstrip projector and one of the new filmstrips acquired for the library, using money from the Todaro Estate. The equipment will be used for storytime; for class visits, and even on the Bookmobile, as it is a light weight portable piece of equipment. Members of the board expressed their satisfaction with this new format. Miss Sommerfeld also reported • that the summer reading program is still going strong and weekly sessions for crafts are well attended. The Bookmobile will be having some special programs at stops in the Kurten and Brushy communities and plans to use the new filmstrip projector to provide entertainment. For the summer reading program, the children's depart,-1 ment and the bookmobile staff will co-sponsor a party July 31, Saturday, at 10 a.m. on the lawn of the library. Phil Springer of MacDonald's is donating refreshments and special events will be held for all Brazos County children who have participated in the summer reading program. A discussion was held about the new telephone numbers for the library. In July, the library was added to the city of Bryan's telephone system, along with the Police and Fire Departments. From 8 a.m. to 5 p.m. one calls the city number 779-5622; after 5 p.m. and on Saturdays, one calls 779-1736. There are 11 extensions • in the library. The city librarian is ext. 316; secretary, 318, chief office clerk, 317; reference, 333 or 332; circulation 335 or 336; Rountree Room, 319; Bookmobile, 2 344; cataloging, 337; Jean Muetzel's office, 330, It was learned that the evening • and Saturday number would also reach the city of Bryan switchboard and would there- fore be the number to give out to patrons, and cause less confusion. The minutes of the June meeting were approved, as was the booklist. A discussion of the October 1 autographing party for Texas authors was held. Lloyd Lyman, director of the Texas A&M University Press, and Gayla Christiansen, Promotion and Advertising Manager, visited with the librarian to discuss the coming event. The Friends of the Library will be, offering John Graves' new book, Cowboy Life on the Texas Plains and Coastal Texas, and the author will be in the library to autograph his new book. Numerous Texas authors will be in attendance. We are ex- pecting Leon Hale, Bill Brett, John Tveten, Buck Schiwetz, and some of the A&M authors. Members of the Library Board were asked to submit a list of names and addresses so that personal invitations could be made in the name of the library, the Board, and the Friends. We would like to make this a very social occasion. Refresh- 411 ments will be furnished by the Friends. The librarian asked each of the board members to make a special effort to be in attendance. Hours of the public autograph- ing party are 3:30 to 6:30 p.m. The librarian reported on budget proceedings. Mr. Clark asked the librarian to add items from the maintenance budget to the library budget, in order to reflect true costs df operating the library. The sum of $16,640 has been asked for to re- pair and update the air conditioning system. To alleviate conditions in the basement, $6,000 has been requested. These two requests have been added to the original requests for capital outlay. The librarian explained to Mr. Clark that in priorities, the request for library improvements (book budget) would always be number one. As of now, new salaries have been calculated with a six per cent increase. Discussion of the Memorial program and the fees and fines structure was held. • It was decided that a recommendation for any changes in these areas should be postponed until the August meeting when hopefully all Board members could be in attendance. The librarian will report on how other libraries operate memorial • funds. Several suggestions were made regarding the Memorial program. It was suggested that a limit be set if a book was to have a book plate. If the donation was less than that limit, there would be no book plate, but the person's name and name of donor would go in the honor book. If book plates were eliminated, donations would be deposited into a fund for purchase of books. The librarian explained that currently any amount given in memory or in honor of someone always results in the acquistion of one book, a place is affixed inside the cover, an acknowledgment is sent to a designated person, and the name of the book, donor and person memorialized is put in a large leather bound volume kept for this purpose. Everyone was en- couraged to review the Memorial fund information mailed in the July board papers in order to make a recommendation at the August meeting. • A discussion of the current policy that allows residents outside Brazos County to be issued borrower's cards was held. Many residents of Caldwell, Hearne, Franklin and Snook have been issued cards over the past years. There is no charge for this service.
