HomeMy WebLinkAbout06/28/1972 - Regular Agenda Packet - Bryan College Station Library System Advisory Board June 28, 1972 The Bryan Public Library Board of Trustees met at 5:00 P. M. in the • Library on June 28th. Present were Dr. Paul Crawford, Mrs. R. J. Holmgreen, Mr. W. D. Dunn, and Dr. Tom King. The Librarian, Mrs. Hazel Richardson, who is in the hospital, was not present. Mr. Fred Sandlin, the City Manager, was present, as were Mrs. Mary Eden, Assistant Librarian, and Mrs. Lois Griffin who acted as Secretary. The minutes of the last meeting were approved as read. In an overall review of the statistics it was noted that the circulation for the first nine months of this fiscal year was up 20% over the same period last year. This increase in circulation was achieved without an increase in personnel. In reports of standing committees it was noted that the budget for books and magazines has been spent. • The book list for the month was approved. On Budget and Finance there was considerable discussion on the prospect of cuts by the Commission from this year 's budget. It was brought up that one hundred percent of the budget for three programs had been cut. These were $500 for records, $500 for family night at the Library, and $500 for the slide series. The book budget was cut back to the same amount as last year. After considerable discussion Mrs. Holmgreen moved that the President of the Board should write to the City Commission requesting that the $2000 for books and the $1500 for records, slides and family night programs be restored to the present budget. The motion was seconded by Mr. Dunn and carried. • On Building and Grounds, Mr. Sandlin reported that the material for the walls has been ordered and part of it is here. It is hoped that the work will be underway before the end of July. P The books which have been mutilated in the Library were examined. In discussion which followed it was emphasized that this sort of thing should • be reported to the school principals. Attention was called to the fact that the Librarian had reported the incidents to Mr. Jackson at S. F. A. but he has not responded at this time. Mrs. Holmgreen moved that the Librarian write letters to the school officials calling this to their attention and asking their aid. The motion was seconded and carried. After discussion as to whether too much time was spent on Saturday programs, it was agreed that Miss Terwilliger should continue working on them. On the subject of doing away with overdues fines, the method used at the Rosenberg Library at Galvestion was reviewed in detail. It was decided to do away with the overdues notices but continue to charge a fine of five cents a day for each book. Dr. King moved that the method of doing this be left to the discretion of the Librarian. The motion was seconded and carried. Mrs. Eden reported that the Friends of the Library were willing to purchase a duplicating machine which could speed up the cataloging of books. Dr. King moved that a program for improved cataloging be initiated. Mr. Dunn seconded the motion which carried. It was reported that all purchases made by the City for more than $500 must be let out for competitive bids. This will include library books. Dr. Crawford wished for the minutes to show that the Board of Trustees takes cognizance of this procedure and brings to the attention of the City Commission the need for excellent service as one part of the bid specifications. Mr. Sandlin said the City Purchasing Agent is working on a method whereby this service will be possible. • The Board wished a speedy recovery to the Head Librarian of the Nation's most dynamic public library. To make her stay in the hospital more tolerable, the Board and City Manager contributed to keep the television in her room going for an additional two weeks. There being no further business, the meeting adjourned at 6:10.
